How to Run Email Marketing with mailtani

Connect your sending provider and verify your domain

Add your AWS SES, Resend, or Mailtrap credentials in Settings > Sending Emails. Then go to Settings > Domains and add your sending domain. Follow the DNS record instructions for SPF, DKIM, and DMARC — mailtani shows exactly which records to add. Verification takes under 10 minutes and is required before any emails can send.

AWS SES costs about €0.10 per 1,000 emails. At a 10,000-subscriber list sending weekly, that is about €5/month in sending costs — a fraction of what Mailchimp charges.

Import your contact list

Go to Contacts > Import and upload a CSV. Map columns to email, first name, last name, and any custom fields. After import, assign contacts to a List (e.g. "Newsletter Subscribers", "Trial Users") and optionally apply Tags for lightweight categorisation. All of these become targeting options for broadcasts and segments.

Create segments for targeted sends

Segments are dynamic, rule-based groups that recalculate each time you send. Go to Segments > New Segment and combine conditions: list membership, tag, custom field value, or contact status. Use match all (AND) or match any (OR) logic. This lets you send a "customers only" broadcast or a "trial users who have not upgraded" sequence without manually maintaining a list.

Segments are evaluated at send time — any contact added to your list after the segment is created will be included if they match the rules.

Send a broadcast campaign

Go to Campaigns > New Campaign > Broadcast. Write your subject line and email body using the rich-text editor. Select your audience (list, tag, or segment) and review the estimated contact count. Schedule for a specific date and time or send immediately. Every broadcast automatically includes a one-click unsubscribe link — CAN-SPAM and GDPR compliant by default.

Personalise every broadcast with merge tags: <code>{"Hi {{first_name}}"}</code>. Use spintax for subject line variation when sending to large lists: <code>{"{{RANDOM | Big news | Just shipped | New update}}"}</code>.

Set up automated sequences

Sequences are multi-step drip campaigns sent over time. Create a welcome sequence for new subscribers — a 3–5 email series introducing your product, linking to key resources, and nudging towards a conversion. Go to Campaigns > New Campaign > Sequence, add steps with delays (e.g. day 1, day 3, day 7), and enroll your list. New contacts added to the list are enrolled automatically.

Add a signup form to grow your list

Create a subscribe form at Subscribe Forms > New Form. Choose your list, add custom fields, and set what happens after submission. You get an inline form to embed directly on your page, a popup button to open the form in an overlay, and a hosted signup URL to link from anywhere. Enable the email verification link for double opt-in — confirmed subscribers land in your list automatically.

Track performance in analytics

Check campaign performance under Analytics: sent, delivered, opened, clicked, replied, bounced, complained, and unsubscribed. Hard bounces are suppressed automatically after the first failure. Spam complaints suppress the contact immediately. Use open rate trends over time to track list health — a declining open rate usually means your list needs cleaning or your content relevance has dropped.

Benchmark open rates: 20–35% is healthy for an engaged marketing list. Below 15% suggests deliverability issues or a stale list.
