How to Run Cold Email Outreach with mailtani

Connect your sending provider

Go to Settings > Sending Emails and add your AWS SES, Resend, or Mailtrap credentials. mailtani connects directly to your account — your emails go out on your own IP reputation, not a shared pool. This is the single biggest deliverability advantage over tools like Instantly or Lemlist.

Start with AWS SES if you have an account. Send costs are approximately €0.10 per 1,000 emails — a fraction of what monthly tools charge.

Verify your domain and set up DKIM/SPF

Go to Settings > Domains, add your sending domain, and follow the DNS record instructions. mailtani shows exactly which TXT records to add for SPF, DKIM, and DMARC. Verification usually takes under 10 minutes. Without these records, cold email lands in spam regardless of how good your copy is.

Use a subdomain for cold email (e.g. <code>outreach.yourdomain.com</code>) to protect your main domain reputation.

Warm up your sending address

Never send cold email from a fresh domain or address. In Settings > Sending Emails, select your address and enable warmup. Set a daily send limit (start at 10), a daily increase (add 5 per day), and a max ceiling (50–100). mailtani ramps automatically — run warmup for at least 2–4 weeks before launching real campaigns.

Set up inbox rotation

Inbox rotation distributes sends across multiple sending addresses on the same domain. This protects your reputation, keeps each address under provider daily limits, and scales your volume. Go to Settings > Domains, open your domain, and add 3–5 verified sending emails. mailtani rotates through them automatically for every sequence you send.

Warm up each address separately before adding it to rotation. Each address should stay under 50–100 sends per day until reputation is established.

Import your prospect list

Go to Contacts > Import and upload a CSV with email, first name, last name, and any custom fields (company, title, industry). After import, assign contacts to a List or apply Tags to organise prospect segments. Custom fields become available as variables in every email.

Build and launch a sequence

Go to Campaigns > New Campaign and choose Sequence. Write your first email, set a delay before the follow-up (typically 3–4 days), and add 3–5 steps total. Use variables for personalisation ({"{{first_name}}"}, {"{{custom.company}}"}) and spintax for natural variation ({"{{RANDOM | Big news | Just shipped | Quick update}}"}). Enroll your prospect list and activate.

Keep the first email under 100 words. Short, direct emails get higher reply rates than long pitches. The goal is a reply, not a sale.

Monitor replies in the unified inbox

Set up IMAP on each sending address (Settings > Sending Emails > IMAP) so mailtani syncs replies back. All replies appear in Inbox — grouped by thread, with the full conversation context. Contacts who reply are automatically unenrolled from further follow-ups, so you never double-send to someone mid-conversation.
